Tip # 95
(database) SIMPLE DATABASE ENTRY / SEARCHING

From the main menu, select the "Database" menu, or you can click on the "Database" ICON on the button bar. Then choose "Database Simple Record Editor / Searching".

The database information can be integrated into the
CONTACT SHEETS and WEB PAGE GALLERY and Text Boxes Overlays functions. Click here for more integration information.

This is the simple database entry / search window. You can enter data for each of your files into the database. You can also search for data that is already in the database. You can use the following fields:

  • Category
  • Type 1
  • Type 2
  • Value 1
  • Value 2
  • Date Photo Taken
  • Keywords
  • Notes

  • Most of the fields are easy to understand. The special ones are Type1, Type2, Value1, Value2. You can use these for anything you like. For example: Maybe you could use it as a Sub-Category. So, you could enter a category of "Vacation" for hundreds of photos, and within those photos, you could enter "Paris" for the TYPE1 field for about 25 of them, then maybe "Boston" for another 30 in TYPE1, and then maybe "DC" for another 45 of them. So now you have the ability to search for Category=Vacation and Type1=Boston. Then you would see all of your Boston vacation pics. You could use the Type2 field as a quality marker. Maybe use "Small, Originals, Adjusted". That way you could search for all your small photos, or original photos (unedited), or maybe your final adjusted photos. These 4 special fields can be used for whatever purpose you like.

    Enter Data Into Database:
Select the database field you want to enter data for. The list of fields are in a pull down list. Once you have selected the field, you are shown the current field value. At this point you can edit the field and then click "Update Database". If you are not viewing the file you want to enter data for, then use the VCR buttons to allow you to go to the file you want to work on. The VCR buttons are located just below the preview area. You can also click on the "Preview" button, to the right of the VCR buttons. This opens up a larger, sizeable Preview Window where you can manipulate the image.

When finished, just click the "Close" button.

    Search Database:
Select the database field you want to search on. Type in the text you wish to search for. You can enter multiple words separated by SPACES or COMMAS. When you click search, records are found if ALL WORDS(anded) TYPED match with words found in the database. If you want to use ANY WORD match, then use the Advanced Database Record Editor.

NOTE: When searching, you can search the entire database (Search All), or you can limit the search to files in the current folder (Search Current Folder). If you have a huge database, and you know that what you are looking for is in the current folder, then clicking "Search Current Folder" will perform a lot faster.

When the search is complete, you have the option to take the found records and stuff them into the
ON-HOLD window. That way, you get a list of thumbnails for each of the files that were found in the database search. From this window, you can do just about anything with your collection of files. The ON-HOLD window is a very powerful tool for collections (groups) of files.

When finished, just click the "Close" button.
